What changes in the first term

Less chasing, fewer arguments about what was paid, and reports out on time.

Fees come in on time

Parents get an email before each payment is due and again if it is late, with your "How to pay" details. Nobody has to remember to send them.

7 days before each due date · every 7 days while overdue

Payment plans families can keep

Pay in full, by semester, half-and-half or monthly. SkoolMate works out every due date and amount, and each payment goes to the oldest amount owed first.

Sep–Dec · Jan–Apr · May–Jul

Receipts nobody can fake

Each receipt can be signed digitally and carries a code and QR code. Anyone can check it online, and a receipt that was cancelled shows as void.

Every office sees the same answer

Front office, registrar and principal can look up whether a student is in good standing, on a plan or in arrears, without seeing the bursary's books.

Good standing · On a plan · In arrears
Features

One system, four kinds of people, and each sees only what they need.

for the bursary

Bill the whole school in one go, and always know where it stands.

  • Invoices built from your fee structure, by grade and semester, with discounts and scholarships.
  • Record cash, bank transfers, cards, cheques and mobile money. Receipts print on your letterhead or go by email.
  • Billed, collected and outstanding at a glance, the list of who owes what, and collections by month, grade and method.
  • Mistakes are corrected, not erased: a wrong payment is voided with a reason and stays on record.

for teachers

A register that works like the book, and adds up like a spreadsheet.

  • Add your own columns for classwork, homework, tests, coursework and exams. Type Abs for absent.
  • Tick which columns count, and the report mark is worked out for you by the school's weights.
  • Prefer Excel? Download your class as a template, fill it in, upload it. Every cell is checked before anything is saved.
  • Pick report comments from the school's own list. Teachers never see fees or balances.
How a report mark is builtDefault weights

The school sets the weights, or uses a plain average. Absent and blank marks don't count against a student.

2Fill in marks in Excel
3Upload: checked, then saved
for the principal

Report cards published, emailed and printed from one screen.

  • Set your grading scale (A to F, or your own), and choose whether cards show class position.
  • Publish a class, email every family, and print only for those who collect on paper.
  • Published marks are locked. A teacher who spots a mistake asks you to reopen the card, and you approve or decline.
  • A school calendar for staff and parents, and an audit log of who changed what.

for parents

Balances, receipts and report cards on their phone.

  • Each child's balance, what is overdue and the next payment due, with every invoice and receipt.
  • Published report cards, the school calendar, and the emails the school has sent them.
  • A message from the school when they sign in, such as a fee deadline or an exam week.
  • Their own sign-in, by invitation from the school. They only ever see their own children.

Corrections, not deletions
Payments are voided with a reason; published report cards are reopened through a request.
Parents see only theirs
A separate parent sign-in that only ever shows that family's children.
Private photos and signatures
Student photos and signatures are kept private, never printed on invoices or receipts.
Receipts you can verify

Questions

What schools usually ask

Who owns our data?

Your school does. You can export it at any time, and if you leave we give you a full copy and then delete it from our servers.

Do parents need to install an app?

No. SkoolMate works in the browser on any phone, tablet or computer. Parents get an email invitation and choose their own password.

Can parents pay online?

Not yet. Payments are recorded by the bursary (cash, bank transfer, card, cheque or mobile money) and the parent gets an emailed receipt straight away.

Can teachers see school finances?

No. Teachers see their own classes, registers and report cards. Each role sees only what you allow it to.

What if a payment is entered by mistake?

It is voided with a reason, not deleted. The receipt is marked VOID, the balance and plan update, and the audit log shows who did it and when.

We use spreadsheets today. How do we start?

Setup covers your fee structure, payment plans, staff accounts and letterhead, and we help you bring in your students and families. Teachers can upload marks from an Excel template.

Can we use our own web address?

Yes. SkoolMate runs at an address on your school's domain, such as skoolmate.yourschool.edu.jm, with a security certificate.
